Drilling RFQ scope lines
Give each requested rig, tool, consumable or associated equipment group a distinct purchasing reference. Identify items already held by the buyer separately from items requested for quotation and ask bidders to map proposed equipment directly to the relevant lines in the request schedule.
Request separate descriptions for suggested additions and alternatives. Name the person responsible for approving scope changes and ask which equipment records that reviewer needs before considering an item beyond the original request, keeping those decisions visible to the buyer's purchasing owner during commercial comparison.
RFQ document references
List the current project drawings, investigation records and item identification attachments included with the quotation request. Ask the project adviser to identify which documents define the drilling requirement and which support review of the equipment configuration or tool items being considered for the purchase.
Request bidders to identify the document revisions used in preparing their responses. If the project brief changes, circulate a revised register and ask for updated answers against the affected requirement or purchasing line before comparing the final proposed equipment packages and commercial terms.
RFQ response questions
Prepare a response sheet linking each equipment configuration or interface question to its purchasing line. Ask bidders to identify missing buyer information and the equipment documents supplied with their proposals, then assign technical questions to the adviser responsible for reviewing the corresponding item or project package.
Keep alternatives on distinct response lines and request an explanation of the requirement each is intended to address. Refer changes affecting the project design to the responsible adviser, and ask the purchasing owner to compare the equipment scope only after those document questions have been reviewed.
RFQ commercial confirmations
State buyer requested quantities and identify the receiving location for each equipment group in the request. Ask for proposed packaging arrangements and commercial scope exclusions against the same purchasing references used for the equipment enquiry, with bidder suggested additions shown as separate offer lines for review.
Confirm minimum order requirements and ask for delivery arrangements in writing before ordering. Reconcile the final quoted item descriptions and quantities with the equipment scope approved for purchasing review, then request clarification of differences before presenting the proposed order to the buyer's commercial decision maker.
