First drilling message
Open the message with the equipment group being considered and a brief description of the drilling project. Identify the proposed purchasing scope and the question requiring a response, such as a rig arrangement enquiry, a tool identification request or clarification of associated equipment documents.
Provide the buyer contact and name the project reviewer who can answer technical questions. Ask which further project records are required for the equipment discussion, and keep the first message focused on the immediate enquiry rather than combining unrelated purchases under an unclear equipment description.
Contact attachment selection
Choose attachments that explain the question in the message and label them with the relevant enquiry reference. For an equipment arrangement question, identify the project drawing under discussion; for an item request, provide the purchaser description and available photographs or drawings needed for identification.
Include a short attachment register stating which records are current for the enquiry. Ask the appointed project reviewer which documents should be shared for the proposed scope, then request clarification if the responding bidder refers to drawings or item references absent from the message packet.
Enquiry reply routing
Identify the buyer contact responsible for collecting commercial questions and the adviser responsible for equipment document review. Ask the project owner to confirm who can approve changes to the drilling requirement and who supplies missing site information during the enquiry discussion with equipment bidders.
Keep questions from different project packages directed to their respective owners. If a reply proposes an alternative equipment arrangement, ask the responsible reviewer which documents are needed before that alternative can be considered, and identify any additional buyer information required for the next exchange.
Follow up question record
Reference the earlier enquiry when sending another message and list the equipment questions still awaiting clarification. Identify changed attachments and explain which purchasing lines they affect so that the responding party can distinguish updated requirements from questions already addressed in the previous correspondence.
Ask for answers against the open question references and send document comments to the relevant project adviser. Before preparing an order request, reconcile the final proposed equipment list with the reviewed scope and confirm quantities, minimum order requirements and written delivery arrangements for the purchase under consideration.
